What Documents Are Needed When Applying for a Job?

Short answer: At application stage you normally need only a CV. At interview, carry photocopies of your educational certificates, photo ID and passport photographs. At joining, employers usually ask for ID proof, address proof, educational certificates, bank details, PAN and previous employment papers. Never surrender original certificates to anyone.

Being organised about documents matters more than it sounds, because private hiring in Guwahati moves quickly. An employer who wants to close a vacancy this week will favour the candidate who can produce what is needed.

Stage 1 — Applying

What you need: your CV. That is genuinely all.

At this stage no legitimate employer needs your Aadhaar, your certificates or your bank details. If an application form asks for identity documents before you have even spoken to anyone, treat it as a warning sign.

Stage 2 — The interview

Carry a plain folder containing:

  • A printed copy of your CV — two if there may be more than one interviewer
  • Photocopies of educational certificates — mark sheets and degree or diploma certificates
  • Photo ID — Aadhaar, PAN, driving licence or voter ID
  • Two or three passport photographs
  • Experience letter and recent salary slips, if you have worked before
  • Certificates for any courses you have listed, such as Tally or a computer course

The employer may want to see originals to verify them. That is normal. Showing them is fine; leaving them is not.

Stage 3 — Joining

Once you accept an offer, expect to provide:

  • Identity proof and address proof
  • Educational certificates
  • PAN card — required for salary and tax
  • Bank account details for salary transfer
  • Passport photographs
  • Relieving or experience letter from a previous employer, if applicable
  • Sometimes a medical fitness certificate, depending on the role

The rule worth remembering

Photocopies are for giving. Originals are for showing.

If an employer insists on keeping your original certificates, ask why, in writing. There is no legitimate operational reason to hold a candidate’s originals, and doing so is sometimes used to make leaving difficult.

Be ready in advance

Keep two sets prepared:

A physical folder with photocopies of everything, plus photographs, ready to pick up.

A digital folder with clear scans — Name-Degree-Certificate.pdf, not IMG_20240412.jpg. When an employer asks you to email documents, you want to send them within the hour, not spend an evening scanning.

If a document is missing

Certificates get lost and results get delayed. Say so plainly and explain what you are doing about it — most employers are reasonable if you are upfront. What creates a problem is silence followed by a gap at verification.
